Administrative Assistant
Job Description
To be successful as Administrative Assistant, you should have a pleasant personality, as this is also a customer service role. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position.
Ultimately, Administrative Assistant’s duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.
This is a contract to hire position, required to be onsite M-F 9: 00 AM CST to 05: 00 PM CST.
Key Responsibilities·Greet and sign in all visitors. Direct visitors to the appropriate person and office. Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)·Maintain neat appearance of lobby, reception desk, kitchen and conference rooms·Answer, screen and forward incoming phone calls. Provide basic and accurate information in-person and via phone/email.·Receive, sort and distribute/prepare all incoming and outgoing mail and couriers·Coordinate office maintenance with building management and independent maintenance contractors·Coordinate meetings for outside visitors and clients (room set up, ordering lunches)·Update calendars and schedule meetings·Order office/Kitchen supplies and keep inventory of stock·Arrange travel and accommodations, and prepare vouchers·Keep updated records of office expenses and costs·Perform other clerical Administrative Assistant duties such as filing, copying, scanning, and faxing as needed·Event arrangements for office parties·Birthday and Anniversary celebrations·Provide administrative support to various departments as needed
Requirements·Proven work experience as a Administrative Assistant, Front Office Representative or similar role·Proficiency in Microsoft Office Suite·Hands-on experience with office equipment (printers, copiers, scanners, postage machine, fax etc.)·Solid written and verbal communication skills·Ability to be resourceful and proactive when issues arise·Excellent organizational skills·Multitasking and time-management skills, with the ability to prioritize tasks·Customer service attitude·High school degree;additional certification in Office Management is a plus·3+ Years of experience
